Job Description:
Executive Assistant role collaborates daily with company’s C-suite in organizing and helping to execute numerous daily tasks. This is a high visible and high exposure role that works cross-functionally with different executives providing administrative, scheduling, and other type of assistance. Ideal candidate should exude a superior level of professionalism, be able to multi-task and prioritize in a fast-paced work environment.
Essential Duties:
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executives’ behalf
- Manage complex office administrative work requiring the use of independent judgment and initiative
- Maintain confidentiality of highly sensitive information
- Performing minor accounting duties, record daily expenses and prepare weekly, monthly, or quarterly reports
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
- Prepare reports, collect, and analyze information; prepare presentations.
- Answering phone calls in a polite and professional manner
- Managing multiple executives’ calendars, including making appointments and prioritizing the most sensitive matters
- Reminding the executive of important tasks and deadlines
- Coordinate travel and accommodation requirements
- Carrying out specific projects and miscellaneous tasks when required
- Attend different company events and in-person meetings
- Maintaining comprehensive and accurate records
- Acting as the point of contact among executives, employees, clients, and other external partners
- Manage information flow in a timely and accurate manner
- Act as an office manager, keep up with office supply inventory, organize and maintain office filing system
- Take minutes during meetings
- Other duties as required

- Proficiency in Microsoft Suite, Office, Google Suite and Slack.
- Proficiency with Google Meet/Zoom platform
- Familiarity with office equipment and applications (e.g., e-calendars and copy machines)
- College BA and 5+ years of relevant work experience as an Executive Assistant, Personal Assistant, or similar role
- Previous work for a talent agency, Social Media company or similar talent management experience preferred
- Entertainment/Startup experience is a plus
Physical Requirements:
- Ability to talk or hear in order to give and receive information and instructions
- Ability to stand, walk, sit, use hands to finger, handle or feel objects, tools or controls
- Ability to reach with hands and arms
- Ability to use computer keyboard up to 80% of the day
- Visual acuity, ability to adjust focus and peripheral vision for work on a laptop or other computer equipment
- Lift and/or move up to 25 pounds
